GuildSeal ("we," "us," or "our") operates guildseal.com and the GuildSeal application. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our services. By using GuildSeal, you agree to the collection and use of information in accordance with this policy.

Information We Collect

We collect information you provide directly to us when you create an account, create job records, or contact us for support.

Account information: When you register, we collect your name, email address, and password. Contractors may also provide their business name and phone number.

Job record data: When you create a job record, we collect the scope of work, client name, client phone number, job photos you upload, and both parties' sign-off information including typed name, IP address, and timestamp.

Payment information: We use Stripe to process payments. We do not store your full credit card number. Stripe's privacy policy governs how they handle your payment data.

Usage data: We automatically collect information about how you interact with our service, including log data, device information, and cookies.

How We Use Your Information

• To provide, maintain, and improve the GuildSeal service
• To process transactions and send related information including confirmations and invoices
• To send SMS notifications to clients on behalf of contractors (using the phone numbers contractors provide)
• To anchor job record hashes to the Polygon blockchain
• To respond to comments and questions and provide customer support
• To send you technical notices, updates, and administrative messages
• To monitor and analyze usage patterns to improve our service
• To detect and prevent fraudulent transactions and other illegal activities

Blockchain Data

When a job record is finalized, we write a cryptographic hash of that record to the Polygon blockchain. This hash is a one-way representation of the data — it cannot be used to reconstruct the original record. However, the hash and the associated transaction ID are permanently public on the blockchain and cannot be deleted.

The actual job record data (scope, photos, names, timestamps) is stored on our servers, not on the blockchain. The blockchain serves only as a tamper-evident timestamp and integrity verification mechanism.

Information Sharing

We do not sell your personal information. We share your information only in the following circumstances:

• With clients: When a contractor creates a job and sends a verification link to their client, the client can view the job scope, photos, and approval status through that link. The verification page is publicly accessible to anyone with the link.
• Service providers: We share information with third-party vendors including Stripe (payments), Twilio (SMS), and Polygon (blockchain anchoring) solely to provide our service.
• Legal requirements: We may disclose your information if required by law or if we believe disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
• Business transfers: In connection with any merger, sale of company assets, or acquisition of all or a portion of our business.

Data Retention

We retain your account information for as long as your account is active. Job records are retained according to your plan: 1 month for Free tier accounts, and indefinitely for Pro and Shield accounts. If you delete your account, we will delete your personal information within 30 days, except where retention is required by law or where data has been written to the blockchain (which cannot be deleted).

Security

We implement industry-standard security measures to protect your information, including encryption in transit (TLS) and at rest. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

Your Rights

Depending on your location, you may have the right to access, correct, or delete your personal information. To exercise these rights, contact us at hello@guildseal.com. We will respond within 30 days.

Note that certain data written to the Polygon blockchain cannot be deleted due to the nature of public blockchain technology. We will clearly disclose what data is written to the blockchain before it occurs.

Cookies

We use cookies and similar tracking technologies to track activity on our service and hold certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. If you do not accept cookies, some portions of our service may not function properly.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of GuildSeal after changes are posted constitutes your acceptance of the updated policy.
